Requirements

Qualification and core competencies.
♦ A minimum of 1 years’ experience of administration and/or fleet and generators.
♦ Ability to work under pressure and meet deadlines.
♦ Interpersonal skill and strong analytical skills.
♦ Computer literacy, MS Word, Excel, Power Point, Access, Outlook and Teams.
♦ Possess a high standard of moral and ethical character.
♦ Excellent command of spoken and written English, Kurdish and Arabic languages - both written and verbal

Responsibilities

Job Purpose:
♦ Manage all country vehicle fleet and generators, including maintenance, repairs and services and all
administrative requirements to ensure a healthy fleet and generators and effective smooth running of the
department.
♦ Ensure compliance with ORGANIZATION’S driver handbook and fleet policies and procedures and be
responsible for monitoring the vehicles in NES.


Detailed Responsibilities
♦ Ensure fleet and generator requirements for the programme are met as per the standard.
♦ Ensure safe operation of the fleet through provision of driver selection and training.
♦ Conduct to include routine checks and regular service and enforcing local fleet operating procedures.
♦ Ensure quarterly drivers’ rotation between departments is in place and completed
♦ Ensure appropriate use of the vehicle by all staff, including use of seatbelts, adherence to speed limits, completion
of vehicle log sheets.
♦ Ensures that all drivers carry out the daily vehicle checks before operating their vehicles.
♦ Ensures drivers report any problems or vehicle defects as soon as possible or immediately on return from field
operations.
♦ Acts as focal point for fleet and generator incidents, accidents and breakdowns. Follow up with all parties and
prepare/ receive reports. Attend the accident site until the investigation is over and provides translation of reports
(in-house or through contracted translation service providers).
♦ Coordinate with Procurement and Logistics department for conducting repairs, services and maintenance on
ORGANIZATION’S vehicles and generators.
♦ Issuing PRF’s as a requester for fleet and generators
♦ Regular quality check over vehicles belongings (hand tools, extinguishers, spare wheel, etc).
♦ Manage daily / weekly vehicle log sheets and service requests.
♦ Monitor mechanical assets, vehicle and generator fuels, oils and lubricants consumption and report any in
consistencies to their line manager and monthly reports to the SMT.
♦ Proactively identify, escalate and propose mitigation measures for any risks related to use of ORGANIZATION’S
vehicles and generators in complex operating context and volatile security situations.

♦ Report regularly to MSM on any points of attention and/or required changes or updates regarding fleet and
generators.
♦ Carries out spot checks on drivers on a regular basis to ensure all drivers are compliant with driving policy.
♦ Carry out driving assessments of staff for general and recruitment purposes.
♦ Other appropriate duties as directed by their line manager or the TOM.
♦ Work within all ORGANIZATION’S operational areas and operational bases as required by the MSM in accordance
with ORGANIZATION’S NES policy.
♦ Other duties as directed in accordance with program requirements.

♦ Hold a valid driving license for the required vehicle expected to provide training on.
♦ Be prepared to work extended hours accordance with the needs of the ORGANIZATION’S Syria program.
♦ Work within the framework of ORGANIZATION’S's core values.
♦ Act as an ambassador for ORGANIZATION’S.
♦ Participate in meetings where relevant.
♦ Work in compliance with ORGANIZATION’S's Policies, including but not limited to, Equal Opportunities, Code of
Conduct and Dignity at Work Policies.
♦ Understand and uphold the standards outlined in ORGANIZATION’S's Safeguarding Framework, acting with due
care and attention to safeguard the wellbeing of anyone that encounters ORGANIZATION’S's work and reporting
concerns if they do arise.
♦ Undertake and apply learning from appropriate training and development programs.
♦ Be able to get fully medical checked.
♦ Sound record keeping and feedback.
♦ Undertake any other duties as may be required.
