Requirements
The post holder should be able to demonstrate the following attributes:
♦ Excellent command of spoken and written English and Arabic.
♦ Minimum diploma degree in administration, management, or equivalent experience.
♦ Previous experience in NGOs sectors for a minimum of 1 year in logistics/procurement.
♦ Excellent internet and computer skills, specifically in MS Word and Excel.
♦ Highly organized.
♦ Ability to work effectively in a team.
♦ High level of self-motivation.
Responsibilities
Overall Purpose of the Job
Under the supervision of the Logistics Officer, the Logistics Assistant/ Storekeeper provides logistical support to
the Raqqa / Hasakah Base, through the effective implementation of procurement and assets management
activities. The position holder will ensure that ORGANIZATION’S Syria stores are kept well stocked in line with
agreed quantities, are well organized, and all stock transactions recorded in a way to minimize loss.
Reporting structure
The Logistics Assistant/Storekeeper is line managed by the logistics officer and technically supported by the
Logistics Coordinator.
Detailed Responsibilities
Procurement
♦ Support the Logistics Office in defining specifications of purchased items by liaising with requesters and
suppliers.
♦ Assist the Logistics Officer in preparing and filing all documentation to comply with ORGANIZATION’S
procurement policy.
♦ Liaise with suppliers and service providers to ensure timely and accurate completion of orders.
♦ Assist in preparing requests for payment for all procurement files and utilities expenses with completed
supporting documents, ensuring all payments are processed on time.
♦ Update the procurement trackers daily in coordination with the Logistics Officer.
♦ Assist in executing purchases in the given area or market.
♦ Support in maintaining the price list and supplier list to collect market information as per instructions from
the line manager.
♦ Participate in drafting the technical specifications of required items, services, or works.
♦ Facilitate the process of credit phone in coordination with the HR and Admin department.
Asset Management
♦ Participate in updating the asset register and maintaining documentation related to assets.
♦ Ensure all purchases of assets are recorded and tagged before delivery to users.
♦ Participate in preparing documents for the disposal of assets when necessary.
♦ Collaborate with the Logistics Officer to undertake asset and vehicle registration when required.
♦ Ensure that all assets are labeled and stored appropriately in coordination with the Logistics Officer.
Store management
♦ Prepare, issue, and arrange delivery of items from the warehouse/stores promptly upon receipt of
authorized requests.
♦ Accurately account for all items received and issued in the provided system.
♦ Ensure all necessary paperwork for the store and warehouse is filed in an organized and easily retrievable
manner per ORGANIZATION’S SOPs and Logistics Officer's instructions.
♦ Regularly perform checks comparing store stocks with the list and report any discrepancies immediately.
♦ Monitor the quality of products during storage and pay attention to expiration dates.
♦ Verify product quality upon delivery and inform the Logistics Officer of received items for stock list updates.
♦ Support the development of the warehouse/logistic storage system for incoming and outgoing items under
the Logistics Officer's guidance.
♦ Arrange goods on shelves or palettes orderly and maintain minimum agreed stock levels.
♦ Mark articles with identifying codes, figures, or letters as required.
Fleet Management
♦ Collect monthly log sheets and report any fleet issues to the Logistics Officer.
♦ Ensure correct entry of information (Log sheets, job cards) in the Vehicle and Asset Costing tracker.
♦ Track regular maintenance for ORGANIZATION’S’s fleet and submit maintenance and repair requests
promptly.
Fuel Store follow up
♦ Control fuel store security and monitor fuel usage.
♦ Issue fuel as necessary to ORGANIZATION’S vehicles, generators, and machines upon authorized requests.
♦ Receive fuel into the fuel stores, check quality and quantity, maintain accurate fuel stock card, and report any
discrepancies immediately.
♦ Notify the Logistics Officer when fuel levels fall below the minimum agreed balance.
Shipments
♦ Scan and upload Waybills and Handovers to the file system.
♦ Arrange local hires for loading/unloading shipments in the warehouse.
♦ Forecast staff and equipment required for loading/unloading.
Reporting
♦ Provide weekly stock and fuel reports to the line manager.
♦ Draft activity and inventory reports and forward them to the line supervisor.
♦ Report any process problems to the line manager.
♦ Provide daily progress reports to the manager and report any breakages, damages, or losses
immediately.
♦ Maintain tools and report problems to the line manager.
