Job Profile:
As an HR Assistant, you will play a vital role in supporting HR functions and ensuring compliance with
organizational policies and procedures. Reporting to the HR Officer, you will be responsible for conducting
awareness sessions on organizational policies, monitoring staff compliance, managing HR paperwork, and
assisting in recruitment processes. Your attention to detail and organizational skills will contribute to the efficient
operation of the HR department
Essential criteria
• Minimum of one year of HR experience.
• Good in English, written and speak.
• Strong computer literacy (Excel, Word, internet).
• A team builder with excellent people skills; culturally sensitive.
• Ethical and reliable with strong interpersonal skills.
Desirable criteria
• University degree in a relevant field.
• Previous experience with INGOs.
• Additional HR training or certifications.
• Familiarity with HR systems and processes in a humanitarian context.
Responsibilities
Ensure Compliance with Organizational Policies:
• Conduct ongoing awareness sessions on RI's key organizational policies and procedures for field staff.
• Monitor staff compliance with policies and procedures, addressing and reporting any concerns or discrepancies.
Check Visits and Attendance Monitoring:
• Conduct check visits to assigned health facilities, mobile clinics, and women and girls’ safe spaces.
• Monitor the attendance of indirect staff and ensure timesheets are matched with attendance records.
HR Paperwork and Documentation:
• File, document, and scan all HR paperwork, ensuring all employee personal files are complete and up to date.
• Follow internal SOPs for maintaining hardcopy files and sending them to the main office.
Contract Processing and HR Support:
• Process new contracts, contract extensions, staff transfers, and other changes of status in a timely manner.
• Coordinate with the HR team to prepare for orientation and onboarding processes, ensuring compliance with HR policies
and procedures.
• Ensure proper exit procedures for departing employees.
• Manage and update the incentives related trackers.
Recruitment and Reporting:
• Assist HR team in the incentive’s recruitment.
• Assist the HR Officer in arranging and conducting written tests for candidates.
• Assist in scheduling interviews and tests with candidates.
• Provide daily reports on work progress to the HR Officer.
Additional Duties:
• Perform any other duties required by the supervisor to support the HR department's operations.
