Position Title: Admin Officer
Location: Jdidet Bikara
Reporting to: Senior Protection Coordinator
Direct reports: Jdidet Bikara PU staff
Number Needed: 1


Job Profile:
Under the supervision of the Senior Protection Coordinator, the Admin Officer will support the
planning, implementation and documentation of protection activities in the protection unit (PU).
She will manage and supervise PU staff and will be responsible for all administrative tasks including,
but not limited to: drafting purchase requests, preparing movement plans, collecting timesheets,
and following up on maintenance issues as needed. She will ensure timely coordination and
communication with the supervisor, protection team and all the other RI teams at field level. She
will also liaise with local community groups and INGOs present in the catchment area to ensure
the effective provision of protection services, and maintain the safety and integrity of project
operations particularly as they relate to beneficiaries. She will stay up-to-date with RI policies and
regulations, and ensure the effective implementation of policies for all operational and program
procedures. This position will provide administrative supervision to PSS Assistants, Social Assistant as
well as indirect staff in the PU.

Person Specification:
Skills, knowledge and expertise required for the role.
Essential criteria
• A degree or diploma in law, social work, human rights, sociology, psychology, or a similar field
• A minimum of 3 years relevant protection/ administration experience with NGOs and/or INGOs
• Excellent verbal and written communication skills in Arabic
• Strong skills in Microsoft Office applications
• Exceptional organizational abilities and supervision skills
• Excellent problem-solving and negotiation skills
• Experience in working with women and girls from hard-to-reach locations inside NES
• Knowledge of GBV prevention and response activities including case management,
awareness sessions and PSS activities
• Adaptable and capable of working well under pressure

• Strong self-motivation skills, ability to exercise sound judgment, and make decisions
independently
• Comfortable working in resource-deprived environments, adaptable
• Ability to work in a team setting as well as independently without supervision.
A strong
propensity for flexibility, teamwork, and creative thinking will be essential.
Desirable criteria
• Good verbal and written communication skills in English

 


 

Responsibilities

Key Responsibilities:
Operations
• Make day-to-day decisions on the implementation of work plans, supervision of staff, and
logistical arrangements
• Supervise daily administrative operations, including vehicle movements, and coordinate
with the logistics team to ensure prompt ordering and stocking of supplies
• Provide innovative solutions to logistical challenges and coordinate closely with the
logistics team to manage supplies and resources effectively
• Draft procurement requests and liaise with logistics to identify the most suitable items and
ensure value for money

• Prepare monthly movement plans
• Flag any maintenance needs and coordinate with supervisor and logistics to arrange
fixing
• Monitor fuel consumption and report fuel procurement needs timely
Program planning and Implementation
• Prepare work schedules and plans in coordination with the Senior Protection Coordinator
and the protection technical team
• Prepare weekly plans for the PU team and share them with the supervisor
• Ensure that all activities are implemented and coordinated based on a .do no harm.
approach
• Develop and maintain effective working relationships with stakeholders, including partner
agencies, community leaders, and service providers
• Collaborate with other RI team members to support the mainstreaming of protection
Staff Management and Supervision
• Follow up on the implementation of the work plan, provide feedback to staff and line
managers on achievements on a weekly and monthly basis, and share best practices and
lessons learned on a monthly basis
• Conduct regular meetings with the PU staff to discuss challenges, suggestions, and success
stories, and share the minutes of meetings (MoM) with the supervisor
• Ensure team performance, provide regular feedback, and foster collaboration,
contributing to the overall success and quality of PU services
• Approve staff leave and ensure timesheets are filled in timely, accurately and shared with
HR
Monitoring and Data Protection
• Regularly monitor the implementation of PU activities and provide on-site support and
guidance
• Ensure proper documentation and secure storage of protection data (hard and soft
copies), including case management and attendance sheets, coordinating with the
protection information analysis officer for quality data management
• Engage with the M&E team to develop and implement appropriate M&E plans for
protection activities.
• Coordinate with the Senior Protection Coordinator and M&E team to ensure alignment of

PU activities with overall program objectives and donor requirements
Reporting and External Engagement
• Develop and maintain effective working relationships with relevant stakeholders, including
partner agencies, community leaders, and service providers
• Report weekly and monthly achievements and challenges in writing to the supervisor
• Contribute to monthly donor reporting by supporting Senior Protection Coordinator,
Amman technical team and Information Analysis Officer with crosschecking accuracy of
Data
• Perform any other duties requested by the supervisor.
