Job Profile:
The HR Assistant plays a key role in supporting the day-to-day operations of the HR function, with a particular focus on compliance, documentation, and HR information systems. Reporting to the HR Coordinator, this position ensures timely and accurate HR administrative support and contributes to an efficient, organized, and responsive HR department. AUTONOMY AND COMPLEXITY
In this role as HR Assistant, you'll work under the supervision of the HR Officer, following established procedures and guidelines. While you'll have autonomy in executing day-to-day tasks, you'll collaborate closely with the HR team to address challenges and ensure compliance with organizational standards. Your ability to manage multiple responsibilities efficiently within a structured framework will contribute to the smooth functioning of the HR department.


Person Specification:
Skills, knowledge and expertise required for the role.
Essential criteria
• Minimum of one year of HR experience.
• Good in English, written and speak.
• Strong computer literacy (Excel, Word, internet).
• A team builder with excellent people skills; culturally sensitive.
• Ethical and reliable with strong interpersonal skills.
Desirable criteria
• University degree in a relevant field.
• Previous experience with INGOs.
• Additional HR training or certifications.
• Familiarity with HR systems and processes in a humanitarian context.

Responsibilities

Key Responsibilities:
Compliance and Staff Support

• Conduct periodic awareness sessions on RI’s key organizational policies and procedures for field and indirect staff.
• Monitor staff compliance with HR and organizational policies, reporting concerns as needed.
• Support onboarding and orientation processes in line with RI HR policy.
• Ensure proper offboarding and exit documentation for departing staff.
Documentation and Systems
• Maintain accurate, up-to-date personnel files (hard and soft copies) in compliance with RI standards.
• Process and track contracts, extensions, and staff status changes (e.g., transfers, end of service).
• Maintain and update HR trackers, including: Performance Evaluation Tracker, Leave and Attendance, HRIS.
Recruitment Support
• Assist in scheduling, organizing, and documenting written tests and interviews.
• Support the logistics and communication process for all stages of recruitment.
• Ensure proper archiving of recruitment documents in compliance with internal SOPs.
Performance Management
• Track and follow up on the timely completion of performance evaluations.
• Provide support to the HR Coordinator in performance management communications and follow-ups.
Additional Tasks
• Support incentive processing and update related trackers.
• Provide regular updates to the HR Coordinator on task progress.
• Perform any additional HR-related tasks as assigned
