Requirements
♦ Several years’ experience in relevant fields (Supply Chain, Logistics, Procurements).
♦ Understanding of the local market, local legislation related to contracts, suppliers, contractors and customs clearance, business registration requirements.
♦ Previous NGO experience added advantage.
♦ Fluent in Arabic and Kurdish (oral and written).
♦ Proficiency in English (oral and written).
♦ Computer literacy: write reports and use forms, usage of Cloud System, experience with Microsoft Office Programs Excel and Word.
♦ Attention to details.
♦ Ability to work under pressure, independently, on multiple tasks with strict deadlines.
Responsibilities
Job Description:
To support our team in NES deployed for our project in Al Hol camp, we are looking for a Supply Chain Assistant, taking care of all procurements for the Field Hospital and working closely with the Supply Chain Manager as well as the Accountant.
Responsibilities and Tasks
Procurements:
♦ Ensure adherence to organizations Procurement Policies for all procurements conducted.
♦ Preparation of Procurement Requests and other relevant Procurement documents.
♦ Assist other staff as needed to ensure timely completion of procurement requests and other documentation, including complete descriptions and specifications.
♦ Assist SCM to prepare RFQ and tender documents, collect quotes from the vendors, assist to prepare bid analysis.
♦ Ensure proper documentation is up-to-date at all times.
♦ Coordinate with supplier and receiver for delivery of goods and services, collect receiving documents from the receiver and prepare GRN.
♦ Conduct/support market assessment and supplier data base updates in coordination with SCM.
♦ Prepare and participate in Evaluation Committees where required.
Storage keeping:
♦ Ensure adherence to organizations Storage Policies for all non-pharmaceutical items.
♦ Responsible for proper documentation and reporting.
♦ Responsible for inventory keeping.
Generators:
♦ Follow-up on generator needs in coordination with technicians.
♦ Ensure regular maintenance of generators.
♦ Coordinate timely fuel deliveries.
Other tasks:
♦ Prepare relevant reports for SCM
♦ Responsible for upkeeping, maintaining and contract management of leased and owned properties across all location in NES
♦ Ensure needs assessments for facilities are carried out and procurement requests are initiated in a timely manner for any improvements or maintenance activities
♦ Follow-up with admin staff, technicians and cleaners to make sure all supplies are in place, tracked and monitored
♦ Follow-up with SCM for setting up and preparing new locations/facilities when required
♦ Working with admin staff for charging credits for communication equipment
♦ Previous experience in a logistics role beneficial
♦ Weekly meeting/report with SCM
♦ Any other duties/tasks as assigned by SCM
