Recruitment Qualifications
♦ Education: Any Relevant Bachelor degree
♦ Experience:1 years of professional experience in Project Admin preferably with experience in working with INGOs or NGOs
♦ Language Requirements: Arabic(fluent) and English is a plus
Functional/Technical Competencies:
♦ Preferably resident of Project Area
♦ Excellent networking and coordination skills.
♦ Professional level in Arabic & English language skills (preferable).
♦ Excellent reporting and formal writing skills in Arabic and English (preferable)
Responsibilities
The crisis in Syria has entered its tenth year with little prospects for imminent end to violence that is faced on daily basis and impact the lives and exacerbate the vulnerability of children, women, the elderly, and the disabled.
In addition, the widespread displacement and deterioration of life conditions have negatively influenced the social and economic fabric of Syria.
As a response to the emerging needs of the Syrian population, and in line with the overall framework of the Syria Humanitarian Response Plan, Strategic Framework for Syria and UNDP Country Program Document, UNDP Syria is working on enabling Local economic recovery and livelihoods for vulnerable populations through inclusive private sector recovery and development, human capital development and pro-poor market interventions; enabling Local-level support for social protection/cohesion, gender equity and sustaining peace enabled; and developing Responsive, accountable and transparent local governance systems
The project will build its activities based on local needs to promote awareness of mine risks among local communities in Al-Hassakeh Governorate
The Project Admin will be recruited, through a third-party contract, to support the implementation of UNDP activities on Social Cohesion and Local Development / HLP in the field. Under the overall direction of the project Manager and the supervision of the Area Associate, the Project admin is responsible for the implementation and support issues of the project, as stipulated in the program support document, and as assigned to him/her by the his/her Supervisor.
Key functions and responsibilities
1.Manage day-to-day tasks.
2.Coordination and follow-up of appointment decisions and resignations, follow-up of staff and volunteer matters, and permanent communication with the project management.
3.Preparing & Collecting periodic reports for the project, and sending a copy to the project manager and the program office.
4.Organize, coordinate, and implement interviews, meetings, seminars, and events and prepare a final report in coordination with the reporter and present it to the project manager.
5.Support the project manager in Preparing official letters between the project and other parties.
6.Participate in preparing presentations for meetings and conferences related to the project and program as needed.
7.Managing data, arranging, indexing, archiving, and maintaining it correctly.
8.Respecting the privacy of work and humanitarian rules and regulations during the implementation of the work and not circulating any information outside the project or program offices without referring to the administration.
9.Preparing monthly salary list in collaboration with project manager.
10.Collect and keep full track record of invoices and receipts and submit to UNDP field office.
11.Keep track record of project activities including attendance, complains, problem encountered, results and achievements Monitor all project activities, expenditures and progress towards achieving the project output.
12.Provide feedback to the Project Manager on project activities.
13.Develop budget status reports, monthly and quarterly financial progress reports.
14.Full collaboration with project manager and UNDP field office.
15.Other duties as they arise.
Scope of work
The Project Admin will be directly supervised by the Project Manager and will receive regular guidance from Social Cohesion focal point to fulfil the following specific objectives:
