Requirements
This position demands a dynamic individual with a demonstrated ability to achieve results in a demanding and fast paced environment.
♦ 2-3 years previous experience in an INGO. Humanitarian or development sector.
♦ University degree on Business Management, administration, Engineering studies or any relevant filed.
♦ WASH related experiances is preferable.
♦ Demonstrated experience in implementing policies, procedures and systems in remote settings
♦ Excellent command of spoken and written English and Arabic.
♦ Demonstrated excellent computer literacy (Excel, word, internet).
♦ Ability to prioritize and deal with competing demands.
♦ Excellent organizational, interpersonal and communication skills.
♦ A team builder with excellent people skills; culturally sensitive.
♦ Must be flexible adaptable and willing to perfume other duties and work irregular hours
Responsibilities
♦ Ensure the coordination with the authorities, partners, and INGO to ensure the information flow and the needed support.
♦ Attend the regular coordination meetings with authorities, partners, and INGOs on regular bases,
♦ Ensure the implementation of day-to-day activities related to the agreed mobilization tool for each grant.
♦ Regular travels to facilities and field sites for supervision which allows identification of needs and gaps in programs.
♦ Develop capacity building plans as needed for programs staff.
♦ Coordinate with line manager on follow up plans for monitoring and evaluation, timely reporting, timely course correction, project closure, project assessments, and internal information sharin
♦ Ensuring Direct staff understanding of their roles and responsibilities and that regular performance review is done and needed support is provided to meet goals and objectives.
♦ Set individual capacity building goals/indicators for team members and set regular meetings to review work plans and deliverables, and conduct Individual capacity assessment for field health Staffs based on project management approach
♦ In coordination with the line management , contribute to the process of developing a strategic plan per health component, PHC, Secondary, Community Health, MHPSS, physical rehabilitation etc.
♦ Follow up on recruitment plan for each health facility, and provide needed support to the supported health facilities to ensure full alignment with agreed recruitment SOP.
♦ Under the line manager, to review, extend and amend Health facility’s MOUs and ensure reflection of agreed budget.
♦ In collaboration with the Medical, and Medical Comodities Coordinators organize, document and follow up on monthly meetings with health facility board members, provide gap needs analysis, and follow up on closing the gaps, with the SHPM approvals and support.
♦ Ensure close collaboration with the medical team and good communication to enable smooth running of services.
♦ Work closely with the field-based staff and health facility management to ensure quality control/authenticity of all support documents shared by the health facilities/Org field-based program staff. This includes collaboration with other operation departments to ensure the correct procedures and policies are followed/applied.
♦ Work closely with the field-based program staff and health facility management to provide them with on-job capacity building and ensure procedures and tools are understood and applied correctly by the field based program staff and the management of health facilities. Remote training can also be used to introduce tools, systems and procedures to keep the field-based program staff up to date.
♦ Work closely with the WASH monitors to provide the needed support at the facility levels and for the partners. WASH activities to enclude the IPC checklists, Incenirators, and water testing.
♦ Work with local partners to ensure implementation of programming and utilization of the allocated budget.
♦ Work with the line manager to contribute to all aspects of program cycle including development of proposal documents, reporting, implementation of the budget, monitoring of activities and budget tracking.
♦ Coordinate with the operations team (HR and logistics) to address any issues in the facilities and follow up on procurements, etc.
♦ Must adhere and provide the support at the field level to adhere to all IPC protocols as related to COVID 19.
♦ Any other duties as required by the SHPM.
Program Administration
♦ Systematically Review, analyze and report monthly running cost for health facility, and provide needed payment requests to Finance Department with all related supporting documents.
♦ Coordinate with HR Department to review monthly incentives for indirect staff by checking new, resigned and change of status staff documents, and submit to Finance with needed MOUs.
♦ Provide the line manager with immediate knowledge and analysis of any potential misconduct or gap in the field procedures regarding operations and administration policies; this should be done through complaints and feedback mechanism, coordination with the health facilities and coordination with HR team
♦ Submit all the requested reports on regular bases, and based on the need
