Requirements

♦ Willingness and ability to work effectively with a wide variety of people.

♦ University Degree, or alternative 2 years’ experience in logistics if lower qualifications.

♦ Previous NGO experience added advantage.

♦ Good in English language beside to Arabic and Kurdish.

♦ Ability to be pay attention to details.

♦ Flexibility to support by field visits.

♦ Very excellent command on excels and word Microsoft operating system.

♦ Ability to work as part of a team and coordinate with project personnel.

♦ Computer literate and strong organizational skills.


Compulsory:
♦ experiences in procurement, at least one year.
♦ Good in English.
♦ Good in computer requirements.


Desirable:
♦ Scientific certificate.
♦ Experiences in Asset management.

Responsibilities

SUMMARY OF POSITION:

The Logistics Assistant is responsible for assisting the Supply chain team in overseeing our Supply chain operation.


1- Procurement:

♦ Assist Sr. Operations officer in handling procurements.

♦ Assist in preparing all procurement files from PR stage to payments.

♦ Regular Market assessment and supplier data base update.

♦ Assisting the team for reviewing related PRs.

♦ Make sure that all services and items are delivered officially.

♦ Make sure that all works, and activities will be followed due to Donor regulations and our policies & procedures.

♦ Follow up all required procurement procurers’ and documents (RFQ, CBA, summary, PO, contracts, GRN ….PRF) with uploading and archiving.
♦ Supporting and coordination with other locations due to procurement requirements.

♦ Working closely with logistics team and other departments for the required procurements.

♦ Reporting to Sr. Operation Officer.

♦ Any other tasks required by Snr. Ops Officer and Logistics Manager.


Other Tasks in Asset Management linking to all procurements:

♦ Properly Record and tag all assets and inventory old and new in line with our policies and procedures at all locations.
♦ Keep the asset register, asset cards, personal issue forms…and Asset documents up to date with information of where each asset is/who it has been issued to. Send an updated asset register on a monthly basis.

♦ Perform a monthly Asset check, report if any assets/inventory is broken, lost or stolen on the Inventory Loss/Theft/Damage report and leading required procedures.

♦ Perform a quarterly physical asset check, print updated asset register, sign and file, and for ending the year and project where he/she will facilitate assigned committee works for all locations.

♦ He/she will be supported and followed technically due Asset tasks by IT Officer, Sr. Operation Officer and Supply chain Officer and working closely with IT Officer for IT equipment.

♦ Any other tasks required by Snr. Ops Officer and Logistics Manager.
