Requirements
♦ The Logistics Officer based in Menbij works under line management of the Logistics and Procurement Team Leader and under technical supervision of the Senior Procurement Officer.
♦ The Logistics Officer supervises the work of Menbij logistics team in close cooperation with the Logistics and Procurement team leaders.
♦ The Logistics Officer based in Raqqa liaises with HoPs, Program Managers, Security department, coordinates IT trouble shooting and IT equipment and maintenance needs with Senior IT Officer, coordinates staff movements with Logistic Officer in charge of Fleet and with logisticians from other CvT offices.
Responsibilities
- Transportation
Transportation of material within NES:
♦ Coordination and tracking movements of goods to/ from Menbij office and warehouses;
♦ Collecting and archiving Menbij waybills on SharePoint;
♦ Keep the Waybill Tracker tool up to date on regular basis.
2. Base Management – office, guesthouse:
♦ Ensures a safe, comfortable, efficient and cost-effective use of the premises meeting the standards as per CVT IDD Logistics Handbook;
♦ Managing all contractual relations related to CvT NES property rentals, utilities and services;
♦ Conducting basic maintenance, or arrangement of maintenance and its expenses;
♦ Purchasing and maintenance of equipment, safety equipment and consumables;
♦ Develope and updating guesthouse rules;
♦ Arranging drinking water and timely replenishment of water filters;
♦ Replenishment and management of stock of consumables and stationery used in the office;
♦ Managing secure key management system with restricted access for NES CvT properties;
♦ Insure efficient and adequate lodging premises for permanent or visiting staff, including its cleaning, maintenance and equipment arrangements.
♦ Managing base support staff (cleaners, guards);
♦ Submitting Weekly Money Request to finance based on real needs;
♦ Supervising filing and archiving of premise’s logistics documentation.
3. Assets management
♦ Registering new assets in Navision;
♦ Keep track of assets movement;
♦ Conducting bi-annual inventory of assets;
♦ Coordination disposal of Assets and troubleshooting with HQ assets focal point;
♦ Filling and archiving Assets related documents – liability agreements, discarding protocols, inventories etc.
4. Communication
♦ Providing Raqqa staff with mobile phones and SIM cards in coordination with HR.
5. Warehouse management
♦ Supervising the operation of warehouses in Raqqa in cooperation with the Logistics Team leader,
♦ Participating on monthly stock inventories
♦ Cooperating with Program Support Officer on updating the Donation Overview tool.
6. Other
♦ Other tasks assigned by employee’s Line Manager corresponding to actual needs of Country Programme, and projects.
♦ Substitute relevant colleagues (fully or partially) during their absence when assigned by employee’s Line Manager.
♦ Understand and adhere to the mission’s National Staff Handbook, CVT Code of Conduct, CVT Key Policies and relevant guidelines.
