Requirements

Education and Training:
♦ A university degree preferable or a combination of relevant field experience and education working in this sector is preferred.


Experience:
♦ Basic knowledge of accepted logistics and procurement practices and principles.
♦ Preferable a minimum of 2 years’ experience in the Operations sector (Procurement and/or Logistics).
♦ Past work with local NGOs and/or international donor funded programs preferred but not essential.


Technical skills:
♦ High analytical and reporting skills.
♦ Ability to work under pressure.
♦ Ability to solve problems with suppliers
♦ Good command of spoken and written English.
♦ Very good command of excel and other database applications.
♦ Computer/word processing and standard office software skills

Responsibilities

The overall responsibility of the Operations Assistant will be to assist the Procurement Coordinator in all areas and aspects of the Procurement & Logistics process. The position of Operations Assistant reports to the Procurement Coordinator. The position is based in Derik, Syria. The Operations Assistant is responsible for the following:


1. Ensure all commodity certificates for this program are up to date and on file and are compliant with the Donor and CHF Senior FSL Advisor requirements.
2. Ensure that batch numbers are captured and are tracked throughout the order cycle.
3. Actively support all Operations in Derik as delegated/ requested by the Procurement Coordinator.
4. Liaisons with the Logistics staff in NES offices as required.
5. Assist the Procurement Coordinator in the drafting of contracts and other documentation as required.
6. Follow up receipt of invoices and deliverables and submit the payments to Finance.
7. Review Procurement payment files prior to sharing with CHF Finance department – track all queries that may arise
8. Complete Procurement processes that are delegated in a timely, accountable and transparent manner.
9. Assist with regularly revising/updating list of suppliers based on different sector of goods, services and work.
10. Assist in the preparation of price analysis and submits it for approval to Procurement Coordinator.
11. Routine communication, coordination and planning with the relevant requesting staff / programs regarding Procurement & Logistics requirements.
12. Demonstrate a service-oriented approach to assisting the program team in understanding requirements and completing tasks.
13. Ensure that the Procurement tracking sheet is continuously updated and carry out any other related duties as assigned by your Supervisor.
14. Demonstrate a service-oriented approach to assisting the program team in understanding requirements and completing tasks.
15. Support the Senior Management Team in maintaining project files that are related to procurement if required
16. Carry out any other related duties as might be reasonably requested by the Supervisor.
