Requirements

Essential:

♦ University degree, preferably in HR/ Public business management or relevant field

♦ At least 2 year work experience in Admin field.

♦ Good command of English language oral and written

♦ Computer skills MS Office pack; Word, Excel and power point is essential.

♦ Experience in working in the humanitarian sector is desirable

♦ Flexibility under pressure and in response to changing needs

♦ Attention to detail and excellent in numeracy

♦ Commitment to maintaining confidentiality

♦ Ability to work within deadlines, prioritizing competing demands

♦ Excellent organizational skills with the ability to work on own initiative and proactively provide support

♦ Ability to work calmly and efficiently under pressure to meet tight deadlines

♦ Very good English skills in writing and speaking.

Desirable

♦ Previous experience with INGO

♦ Knowledge of the organization values and principles

Responsibilities

Administration

Provide support for visitors in the areas of accommodation and transportation Maintain records for office/guesthouse supplies. Perform and document routine inspections and maintenance activities at office/guesthouse premises. Ensure maintenance of safe and sanitary working and living environment at office and GH Support in the set-up plan of new office or guesthouse. Raise Procurement Planners (PRs) in coordination with LM to make sure the premises are well supplied (stationary, equipment, kitchen supplies …etc)

Ensure stock cleanliness and supply designated facility areas (dusting, sweeping, vacuuming, and cleaning ceiling vents) both at office and guest house premises Supervise cleaners and ensure dusting, wiping, washing of external surfaces of cupboards and shelves. Ensure consumable items (refreshments (coffee/tea/sugar), soap, toilet rolls, and paper towels) are replenished when required. Monitor the consumption of the cleaning materials and re-order in coordination with the supervisor. Providing regular written reports of status of equipment and supplies. Manage and cover all minor maintenance needs in organization’s field sites, office, and guesthouses in Al Raqqa governorate. Maintain all premises rental agreements in Raqqa and be responsible of preparing payments and contractual documents on time. Liaise and Report any property maintenance issues to the landlord. Ensure that all utility bills are processed and paid in a timely manner (electricity, water, telephone and internet). Support the handymen in monitoring the generators in Al Raqqa office and GH Undertake any other duties as may be required from time to time. Communicate with HR and IT for developing ID format for new joiners

People Management

Supervise and task the cleaners and Handyman.

Arrange meetings and workshops as requested based on meeting organizers’ needs Ensure refreshments are available for office visitors and guests Ensure meeting/interview rooms have the necessary facilities and equipment installed and readily available for use. Support and promote the standards outlined in the Organization Code of Conduct and the associated policies among staff and be committed to providing a safe working environment; Promote equity, transparency and consistency in the interpretation, determination, implementation and administration of HR policy, procedures and guidelines on all HR related matters applicable to the staff in the office. Undertake other appropriate tasks that support the work of the Organization in Raqqa as requested.
