Requirements

The post holder should be able to demonstrate the following attributes:

  • High School Graduate (Diploma Degree preferred) with experience in relevant field (store-keeping, logistics, admin) •
  • Ability to use a computer (MSWord, MSExcel, and email/internet) •
  • Basic level of spoken and written English • Willing to work extra hours, when required. •
  • Able to handle and lift the heavy items if needed
  • An understanding of NGOs and a commitment to humanitarian work

 

Responsibilities

Overall Purpose of the Job

The Storekeeper will ensure that ORGANIZATION Syria stores are kept well stocked in line with agreed quantities, are well organised, and all stock transactions recorded in a way to minimise loss.

Reporting structure

The Storekeeper will report to the Logistics Officer and work in coordination with Logistics Assistant and other support services staff members. He/she also liases with Logistics Coordinator and Logistics Manager per request their request on Base Manager/Logistics Officer.

Detailed Responsibilities

Stores management:

  • Prepare, issue and arrange delivery of items from the warehouse/stores in an appropriate and timely manner. upon receipt of authorized request
  • Account for all items received and issued in the system provided in an accurate manner.
  • Ensure alll necessary paperwork for the store and warehouse is filed in an organised way and easy to retrieve per ORGANIZATION SOPs and based on the instruction of / LO?
  • Perform physical checks on a regular basis, comparing the stocks in the stores and the list and report any discrepancies immediately,
  • conduct quarterly inventory for all the items in the stock and report to Logistics officer
  • Regularly monitor the quality of products during storage. Pay special attention to expiration dates. Verify product quality on delivery
  • Inform the Logistics Officer on the received items and update accordingly on the stock list; conduct checking on the quality of products at the time of receipt
  • Under the guidance of the Logistics Officer, support to develop the system to manage the warehouse/logistic storage for incoming and outgoing items.
 
  • Arrange the goods on shelves or palettes (depending on the goods) in an orderly, clean and easily accessible manner, and Keep the store and the surrounding area clean and tidy
  • Mark articles with identifying codes, figures or letters, as required.
  • Ensure minimum agreed stock levels are maintained, and arrange procurement with the logistics department as stocks fall below minimum agreed levels.
  • Put in place buffer stock for all the items and ensure the management of the buffer stock in the respect of ORGANIZATION stock management procedures
  • Draw up warehouse layout plans according to the materials/goods to be stored and program allocation
  • Ensure the equipment and machines used by teams are cleaned before returning to storage
  • Assist to Logistics Manager & Officer with the monthly inventories, stock takes and consumption follow up based on their request to BM
  • Control the security of the logistics stores stores and warehouse.
  • Ensure that all breakages, damages or losses are reported immediately in writing
  • Ensure that the generator fuel tank in the office are filles on daily basis
  • Replace and support the other store management in absence of relevant store keeper

Assets Management:

  • In coordination with the logistics officer ensure that all assets are labelled and stored appropriately
  • Support and provide all the required Information to BM/ LM for entering assets attributes to the Asset Tiger.
  • Support on the identification of damaged or the lost assets, and ensure no assets will be returned to stores without a proper approved Incident report.

Fuel Store follow up:

  • Support in control the security of the fuel stores and ensure that the monitoring system is in place to monitor the usage.
  • support to issue fuel as necessary to ORGANIZATION vehicles, generators and machines, upon receipt of authorised request
  • Support in Follow up of the fuel stores - receive fuel into the fuel stores, whilst checking the quality and quantity of fuel being received; ensure the fuel stock card is completed in an accurate manner and submitted on a monthly basis for review; manually check fuel store levels on a weekly and monthly basis and report any discrepancies immediately
  • Notify Base Maanger when fuel levels fall below the minimum agreed balance to arrange further purchase and delivery
  • Ensure that the generator in Hassakeh office & GH are filled with fuel.

Shipments:

  • Scan and upload Waybills and Handovers to the file system.
  • Arrange local hires for loading/out loading the shipments in the warehouse.
  • Establish staff and equipment forecasts required for loading/unloading.
  • Checking and counting for the received items

Reporting

  • Draft activity and inventory reports and forward them to the line supervisor on weekly basis
  • Report any problems in the process to line manager, Daily report to his/her manager about the progress of activities, ensure that all breakages, damages or losses are reported immediately in writing. •
  • Maintain his/her tools and inform his/her line manager if there is a problem

Safeguarding

  • Work in compliance with/ uphold ORGANIZATION's Safeguarding framework - Policy on Personal Conduct, Protection of Children and Vulnerable Adults Policy, Dignity at Work Policy, Reporting Malpractice (Whistleblowing) Policy, Equal Opportunities Policy and Policy on Modern Slavery
  • Demonstrate an open and transparent way of working that facilitates a strong safeguarding culture.
  • Understand the basic principles of identifying and reporting safeguarding incidents

General Responsibilities

  • Other ad-hoc activities as scheduled by the BM, or any appointed person
  • Work within the framework of ORGANIZATION’s core values.
  • Represent ORGANIZATION with integrity and professionalism.
  • Participate in meetings where relevant as directed by Management.
  • Apply learning from appropriate training and development programmes.
  • Perform other duties as requested and assigned by the Line Manager
