Job Profile:
As an HR Assistant, you will play a vital role in supporting the HR department. Your role will involve maintaining HR records, assisting in recruitment, managing employee documentation, and ensuring compliance with HR policies and procedures. You will also be responsible for onboarding new employees, coordinating HR events, and providing administrative support across various HR functions. This position requires
AUTONOMY AND COMPLEXITY
As an HR Assistant, you will work under the direct supervision of the HR Coordinator but are expected to manage your daily activities independently. This role requires a high level of self-organization and initiative, with routine decision-making guided by established policies and procedures. The role involves moderate complexity, handling various tasks that demand attention to detail, accuracy, and confidentiality. You will balance multiple priorities and deadlines, requiring strong time management skills. Effective communication and interpersonal skills are essential as you interact with the stakeholders. Additionally, flexibility and adaptability are needed to travel to different office locations and support various teams.
Person Specification
Essential criteria
♦ Minimum of one year of HR experience.
♦ Good in English, written and speak.
♦ Strong computer literacy (Excel, Word, internet).
♦ A team builder with excellent people skills; culturally sensitive.
♦ Ethical and reliable with strong interpersonal skills.
Desirable criteria
♦ University degree in a relevant field.
♦ Previous experience with INGOs.
♦ Additional HR training or certifications.
♦ Familiarity with HR systems and processes in a humanitarian context.
Responsibilities
HR Records and Documentation:
♦ Maintain and update HR records, databases, and files, ensuring confidentiality and compliance with relevant policies and regulations.
♦ File, document, and scan all HR paperwork, ensuring all employee personal files are complete and up to date.
♦ Follow internal SOPs for maintaining hardcopy files and sending them to the main office.
Policy Compliance and Awareness:
♦ Conduct ongoing awareness sessions on our key organizational policies and procedures for field staff.
♦ Monitor staff compliance with policies and procedures, addressing and reporting any concerns or discrepancies.
Contract Processing and HR Support:
♦ Process new contracts, contract extensions, staff transfers, and other changes of status in a timely manner.
♦ Coordinate with the HR team to prepare for orientation and onboarding processes, ensuring compliance with HR policies and procedures.
♦ Ensure proper exit procedures for departing employees.
♦ Manage and update incentives-related trackers.
Recruitment Support:
♦ Assist the HR Officer-Recruitment focal point in all steps of recruitment, including long-listing, interviewing temporary workers and incentive staff, scheduling interviews/tests, conducting background checks, and verifying candidate credentials.
♦ Assist in the preparation and dissemination of HR documents, forms, letters, and other correspondence.
Administrative Support:
♦ Provide administrative support in staff timesheets, leave balance management, and performance management, guiding staff and following up as necessary.
♦ Coordinate and facilitate HR events, meetings, workshops, and trainings, managing logistics and arrangements.
♦ Respond to HR-related queries and requests from staff, providing information and guidance.
HR Systems Management:
♦ Maintain and update the smart sheet for new joiners and leavers, and update the on the HRIS, ensuring accurate and up-to-date employee data.
♦ Add new joiners to the LMS and ensure they complete mandatory trainings, following up as needed to ensure compliance.
Additional Duties:
♦ Perform any other duties required by the supervisor to support the HR department's operations.
