Job Profile

The Operations assistant will be responsible for the receipt, storage, and distribution of drugs, medical supplies, and
equipment to our-supported health facilities and mobile teams or any items when needed. Manage the our Derek medical
Warehouse according to our warehouse manual and other required standards.
Also, he/she will be working as an asset focal point, along with supervising the support services team such as drivers,
cleaner and act as a focal point for incoming travels.


REQUIREMENTS FOR THE POSITION

♦ University degree or institute at least in a related field 1-2 years of experience in similar roles.
♦ Previous NGO experience is an added value.
♦ Willingness and ability to work effectively with a wide variety of people.
♦ Good in English language beside to Arabic.
♦ Flexibility to support by field visits.
♦ Very excellent command on excels and word Microsoft operating system.
♦ Ability to work as part of a team and coordinate with project personnel.
♦ Computer literate and strong organizational skills.

Responsibilities

Management:
♦ Complete full count and quality check of all goods received to the warehouse.
♦ Complete accurate Goods Received Note (GRN) for all items received in the warehouse and report on any discrepancies
or losses or quality issues immediately. Prepare waybills, packing lists for each shipment.
♦ Ensure all stocks are appropriately stacked and labelled.
♦ Make a physical inventory of the stock (and pharmaceutical) with Sr warehouse officer every 2 months.
♦ All forms completed accurately and timely – GRN, Stock/Bin Card, WH Ledger, Discard, Loss, Theft, Waybill, SRF, etc.
♦ Re-packing and labelling all shipments for onward delivery.
♦ Supervise loading and unloading at the warehouse; check any arrival of goods, quantity, and quality.
Oversee temporary employment.
♦ Overall maintenance of the warehouse; report any issues immediately.
♦ Request and track WH stocks needed for re-packing and storing – tape, labels, boxes, wrap, spray paint, etc.
♦ Make sure that all documents are approved and archived properly as hard copied and soft copies.
♦ Supporting other our warehouses when needed under the supervision of the Sr warehouse officer.
♦ Any other tasks assigned by Sr WH Officer.
Warehouse Security:
♦ Ensure adequate security personnel complete timesheets and perform services as required. Report any issues with
security guards immediately.
♦ Complete Incident Report for any concerning events and notify Office immediately. Document any breakage or theft
with photograph support.
♦ Ensure fire extinguishers and first aid supplies are in place and kept appropriately stocked.
Warehouse Staff:
♦ Ensure that casual labor is appropriately hired and paid through support and coordination from SCO management and
Area manager; supervise persons for loading/unloading. Ensure documentation of hours worked and payment is done
according to our standards.
♦ Supervise additional warehouse staff and pharmacy staff if any.
Log and Admin Management:
♦ Properly Record and tag all assets and inventory old and new in line with our policies and procedures at all locations.
♦ Keep the asset register, asset cards, personal issue forms...and Asset documents up to date with information of where
each asset is/who it has been issued to. Send an updated asset register monthly.
♦ Perform a regular Asset check, report if any assets/inventory is broken, lost, or stolen on the Inventory
Loss/Theft/Damage report and leading required procedures.
♦ Perform a quarterly physical asset check, print updated asset register, sign, and file, and for ending the year and project
where he/she will facilitate assigned committee works for all locations Maintain filing on site for all warehouse
documentation.
♦ He/she will be supported and followed technically due Assets tasks by SCO Manager and working closely with IT Officer
for IT equipment.
♦ He / she will coordinate with log / admin assistant at Dier Alzour and follow up on assets management.
♦ Coordinate the vehicles movement with all relevant actors.
♦ Ensure that Derek office is well maintained and clean.

♦  Coordinate with security for all incoming visitors for their accommodation and movement to different field offices.
