Requirements
♦ 2-3 years of experience in similar roles.
♦ Prior experience with RI is an advantage but not essential.
♦ Willingness and ability to work effectively with a wide variety of people.
♦ Good in English language beside to Fluency in Arabic.
♦ Flexibility to support by field visits.
♦ Very excellent command on excels and word Microsoft operating system.
♦ Ability to work as part of a team and coordinate with project personnel.
♦ Computer literate and strong organizational skills.
Responsibilities
Position Summary
Logistic and Admin Officer oversees facilities, fleet and office management functions at the site, and ensures compliance with Field relevant policies and procedures, with substantive support from the procurement coordinator.
ESSENTIAL RESPONSIBILITIES AND DUTIES:
♦ Manage and renew office and guesthouse rental agreements.
♦ Establish and maintain appropriate filling systems of office correspondence. Receive and dispatch mail.
♦ Organize all Hub travel arrangements, including bookings, accommodation for all our staff and guests and other logistics responsibilities as required.
♦ Keep and maintain accurate general inventory management records including inventory tracking.
♦ Ensure that the office is run in a professional and responsible manner including hosting guests, cleaning, receptionist duties.
♦ Provide verbal and written translation support documentation, contracts, meeting, statement, records as requested.
♦ Follow up the needs and services required at HSK Premises through planning purchases and Cash requests and keep proper tracking.
♦ Conduct his/her self both professionally and personally in such manner as to bring credit to us and not to jeopardize it’s humanitarian mission.
♦ Provide proper reports, trackers and consumption with related analysis to the Procurement Coordinator.
Logistics Management
♦ Work with the supply chain and procurement coordinator to design a suitable staffed and equipped transport function to support the hub program.
♦ Manage and be accountable for the vehicle check and inspection on a monthly basis , generate a report for maintenance schedule
♦ Ensure that appropriate communications and tracking equipment is installed and functioning in vehicles to meet the operational and security requirements.
♦ Coordinate of timely routine maintenance and repairs of vehicles.
♦ Ensure that all vehicles carry the required-on board documentation and that all documents kept current.
♦ Be familiar with local regulations and laws.
♦ Develop a monthly movement plan and coordinate with all heads of departments for smooth inputs throughout the month.
♦ Coordinate with other log & Admin staff at other offices regarding to the final approved consolidated movement plan including accommodation.
♦ Coordinate with security team on all car movement to other filed offices outside the staff work location.
♦ Make sure that all generators and electricity sources are followed, maintained and monitored properly in HSK and camps.
